Organize Meeting Notes Without Inventing Decisions
Use AI to sort rough notes while keeping decisions, owners, deadlines, speakers, and open questions honest.
Separate four different things
Rough notes often mix ideas with decisions. Before you ask an AI to organise them, decide which labels you need.
- Decided: confirmed by someone with decision authority
- Being confirmed: discussed but not settled
- Questions: raised without an answer
- Next actions: only when an owner and deadline are actually in the notes
A copy-ready prompt
Sort the fictional meeting notes below into “Decided,” “Being confirmed,” “Questions,” and “Next actions.” Do not invent speakers, owners, departments, answers, or deadlines. If an owner or deadline is missing, write “TBD.” Keep wording close to the notes and list every item a person needs to confirm.
Use placeholders before pasting
Replace attendee names with roles such as Owner A or Manager B. Replace customers, partners, products, projects, contract details, prices, and internal figures with fictional labels or remove them.
Human confirmation closes the loop
Compare the organised version with the original notes line by line. A clean summary is not an approved record. Confirm decisions with the person who has authority, and confirm assignments with the people who will do the work.
